Set up and track inventory in QuickBooks Online<\/h1>\n\n

QuickBooks Online lets you track your inventory balances, receive notifications when replenishment is needed, and analyze what you buy and sell. You can also add non-inventory products and services to quickly insert them into sales documents.<\/p>\n\n

Important:<\/strong> Inventory features are only available in QuickBooks Online Plus and Advanced plans. If you have Simple Start or Essentials, you must either purchase the Inventory add-on or upgrade your plan.<\/p>\n\n

Prerequisites<\/h2>\n
    \n
  • Plus or Advanced plan<\/li>\n
  • If you have a lower plan, upgrade your subscription first<\/li>\n<\/ul>\n\n
    \n\n

    Step 1: Enable Inventory Tracking<\/h2>\n
      \n
    1. Go to Settings<\/strong> (gear icon) \u2192 Account and settings<\/strong>.<\/li>\n
    2. Open the Sales<\/strong> tab.<\/li>\n
    3. In the Products and services<\/strong> section, click Edit<\/strong>.<\/li>\n
    4. Enable:\n
        \n
      • Show Product\/Service column on sales forms<\/strong><\/li>\n
      • Track quantity and price\/rate<\/strong><\/li>\n
      • Track inventory quantity on hand<\/strong><\/li>\n <\/ul>\n <\/li>\n
      • Optionally, enable Price rules<\/strong> (flexible pricing).<\/li>\n
      • Click Save<\/strong>, then Done<\/strong>.<\/li>\n<\/ol>\n\n
        \n\n

        Step 2: Add products and services<\/h2>\n\n

        Products to track as inventory<\/h3>\n

        Add them as Inventory items<\/strong>. You can specify quantities for them and track balances.<\/p>\n\n

        Products and services that do not need to be tracked as inventory<\/h3>\n
          \n
        • Service items<\/strong> \u2014 services (e.g., consulting, cleaning, repairs).<\/li>\n
        • Non-inventory items<\/strong> \u2014 products you buy or sell but don’t want (or can’t) track by quantity (e.g., consumables).<\/li>\n
        • Bundles<\/strong> \u2014 sets of multiple products\/services (e.g., gift sets). This is convenient for avoiding having to select items one by one.<\/li>\n<\/ul>\n\n
          \n\n

          Step 3: Sales Accounting<\/h2>\n

          When an item is sold:<\/p>\n

            \n
          • Create an Invoice<\/strong> if payment is due later.<\/li>\n
          • Create a Sales Receipt<\/strong> if the customer paid immediately.<\/li>\n<\/ul>\n

            After this, QuickBooks will automatically reduce the inventory quantity.<\/p>\n\n

            Helpful Tip:<\/strong>
            \nHover over the item quantity in any document to see how much is currently in stock and how much is still in transit (by orders). If you’ve set a reorder point, the system will notify you when the item is running low.<\/p>\n\n

            \n\n

            Step 4: Replenishing Inventory<\/h2>\n

            QuickBooks will show you when it’s time to reorder the item.<\/p>\n

            You can:<\/p>\n

              \n
            1. Create a Purchase Order.<\/li>\n
            2. Mark the item as received.<\/li>\n
            3. The system will automatically increase the inventory balance.<\/li>\n<\/ol>\n\n
              \n\n

              Step 5: Inventory Reports<\/h2>\n

              Use reports to quickly see:<\/p>\n

                \n
              • Top-selling items<\/li>\n
              • Current inventory<\/li>\n
              • Cost of goods sold<\/li>\n
              • Overall inventory status<\/li>\n<\/ul>\n\n
                \n\n

                You now have full inventory tracking set up in QuickBooks Online.<\/p>\n\n<\/div><\/div>\n<\/div>\n<\/div>\n\n\n\n
